Prove It Financials › How we get it right

The question everyone asks second

How do you know the numbers are right?

You are being asked to route funder compliance through software you have not used before. If a voucher is wrong, it is your contract at risk, not ours. That deserves a straight answer rather than a trust badge.

Every template is the funder's own form

Not one of the forms in this platform was designed by us. Most started as a voucher a provider had already submitted and been paid on — we stripped every client name, amount and identifying detail, and kept the columns, categories and formulas exactly as the agency issues them. The rest are the official blanks the agencies publish themselves — NYSED's FS forms, DCJS's voucher packet, DHSES's NSGP claim packet, OVS's budget worksheets, the federal SF-425 — downloaded from the agency and left exactly as issued, except that the NYSED forms and the DHSES State Aid Voucher were converted record-for-record from the agencies' legacy .xls files to .xlsx, and each of those pages says so.

That is why the DOE ledger asks for a DBN on every line, why the HRA personnel workbook is structured as three pay-period blocks, and why the IOLA voucher runs April to March. We did not decide any of that — the funders did, and we matched it.

The rules come from the funders' own manuals

HRA's 26% fringe ceiling, DOP's 30% cap, ACS's six distorting factors, DHS's 10% de minimis where most city agencies use 15% — these are quoted from each agency's current published fiscal manual, with the source and revision date recorded against each one.

Where a rule could not be confirmed, the platform says so rather than guessing. Several funders carry an explicit note that a threshold is unverified and should be checked against your own award letter. We would rather tell you what we do not know.

You can check our work before you trust it

The voucher checker is free and takes no signup. Feed it a voucher you already filed and know to be correct. If it flags nothing, that is a useful signal about whether we understand your funder. If it flags something you disagree with, tell us — that is worth more to us than a sale.

Where your data lives

Primary storage

Your browser. The platform works offline against local storage; the server copy exists so several logins at one organization can share a set of books.

Server

Supabase, with row-level security scoped to your organization. Another customer cannot read your data — the database refuses, not the application.

Voucher checker

Runs entirely in your browser. The file you upload is never transmitted to us.

Analytics

Page names and plan labels only. No organization name, staff name, contract number or dollar figure is ever included.

Export

Full backup to a file you keep, at any time. Your books are not hostage to a subscription.

When a funder changes a form

They will. Agencies revise templates mid-year, usually with little notice and often the week vouchers are due.

Send us the new form and we rebuild the export from it, the same way every existing template was built. That is the work, and it is the reason the platform exists rather than a spreadsheet you maintain alone. If your funder is not covered yet, send a voucher you have already filed and we will build it.

What happens when we are wrong

If a voucher this platform generates is returned for a formatting or calculation error we caused, we fix it immediately and refund that month. That is the whole policy.

It is deliberately simple, because a longer one would be a way of not saying it.

Start with something that costs you nothing

Download the blank template for your funder, or run a voucher you have already filed through the checker. Both are free and neither asks for an email. Decide about the product afterward.
